Support My Club is seeking a detail orientated, problem solving, data loving rockstar to join our team. Read below for all the info and also learn about our team culture here.
Program Data Coordinator
Position Overview: This position plans, directs, and coordinates all of Support My Club’s programmatic logistics by performing the following duties:
High School Club/Team Compliance (65%):
-
Review online club and item registration to ensure eligibility and contact sponsors with any required updates/clarifications to their submissions

Add schools and clubs into Shopify and data management system
-
Add new item pages in Shopify, price out items and update system daily, editing online items to ensure they are current, remove items that have expired, and make any necessary changes to items or club pages that are requested by sponsors
-
Create and mail welcome packets for new sponsors
-
Maintain updated school contacts in Gmail, Mailchimp (including segments), and data management system
-
Track and update items purchased, items still available, urgent need items, clubs in need, and kickstart clubs with partnership funds
-
Record orders in data management system and purchase items as they are funded from the Support My Club website
-
Coordinating with Program Manager, track orders for arrival and delivery
-
Track all owed thank you notes, create and send thank you notes to donors including discount tracking, remind clubs to submit owed thank you notes daily and keep track of clubs that are on hold
-
Track all owed community service hours and remind clubs to complete service providing suggestions when necessary
-
Determine, track, and place all partnership orders (kickstart, urgent items, match it) and track and organize all resulting thank you notes

Maintain a supportmyclub.org email address, responding to inquiries within 24 business hours

Maintain the club activities calendar
-
Update backend of Shopify and Wufoo as needed
-
Make recommendations for email campaigns for sponsors and students
-
Organize all club photos
-
Take all team meeting notes
-
Update monthly partnership and admin fund swap document for accountant and update monthly progress tracking tab in metrics document
-
Update weekly tracker daily, dashboard weekly, website numbers weekly, and metrics document each semester
Marketing (15%):
-
Select items/clubs weekly to highlight on website, social media, and newsletter that coincide with seasons and special days/events, create and schedule social media posts and images, design and create website sliders
-
Maintain Club Activities calendar and ‘shoutout’ to clubs on social media when they have upcoming events, Maintain social media presence with constituents
-
Create ‘shoutouts’ to clubs and teams on social media when they have upcoming events
-
Provide content for “What’s Up Wednesday” weekly e-newsletter
-
Schedule and post community service stories and donor thank you’s to social media
Partnership Support (10%): Work in partnership with the CEO and Partnership Manager to:
-
Track all recurring donations and update recurring donation page of website as new donors sign up
-
Track stakeholder stories to be used in marketing/grant writing
-
Provide essential details for larger grants and flash funding opportunities
Outcomes Data Management (10%): Work in partnership with the COO to:
-
Distribute the outcomes survey to teachers and students at the beginning and end of each school year through Wufoo
-
Update the outcomes survey as necessary
-
Create a system for tracking individual student pre and post data using student id numbers
-
Update longitudinal information on graduation rates, free and reduced lunch rates, Title 1 status, and enrollment data as the data becomes available

Create and update relevant articles/research page
Special Projects:
-
As needed, complete unique campaigns or projects that directly contribute to the progress and expansion of SMC

Assist in planning annual signature Philanthropy Bar event
Desired Qualifications:
-
Bachelors Degree in supply chain management, business management, or related area.
-
Experience in a role where the main job responsibilities included data management, tracking, and analyzing data using Excel, Google Docs, and/or online web
-
Extremely detail oriented
-
Strong communication and organizational skills
-
Patient creative problem solver with a good memory
-
Experience in a role where applications such as Shopify and Wufoo were used to analyze business activities is a plus
-
Experience in, and/or passion for, education and extracurricular student engagement
-
Basic knowledge of high school extracurricular activities
